SUMMARY OF DUTIES:

Exercises mature judgment in carrying out office procedures related to the Head Start Program. 

Takes the initiative and appropriate resourcefulness in carrying out the duties and responsibilities

For this position. 

MAJOR JOB DUTIES AND RESPONSIBILITIES:

  • Keep cuff accounts for budgets current
  • Data entry of attendance, in-kind, child records into monitoring system.
  • Pay invoices for the Head Start program
  • Monitor and order supplies for the program
  • Answers phones and logs incoming calls and take messages
  • Provide accurate information for daily bus changes
  • Greet Visitors and direct to appropriate staff
  • Have visitors sign in on visitor log
  • Types, files, copies, faxes
  • Provide staff with necessary forms: timesheets, leave requests, etc.
  • Type and provide meeting minutes to staff
  • Ability to relay messages to bus drivers using a two way radio
  • General computer tasks
  • Internal/external mail delivery and processing
  • Manage confidentiality of reception area
  • Assist in security of client files
  • Assist management staff
  • Maintain employee mailboxes and bulletin boards
  • Assist in Classrooms as needed 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Must have knowledge and experience working with grant programs
  • Must have knowledge and experience working with budgets and cuff accounts
  • Must have knowledge of the CACFP program
  • Experience with office equipment such as copiers, faxes, and multi-line phone systems.
  • Effective communication skills
  • Must work well with others, be a team player and highly dependable

MINIMUM REQUIREMENTS:

  • High School Diploma or GED
  • Proficient computer and software knowledge including Microsoft Office Programs.
  • Ability to obtain the following certificates and licenses within the specified time frame: Food Handlers Certification (3 months), First Aid and CPR Certification (3 months)
  • Current and former Head Start parent preferred
